Managing Performance Management Documents (HR Admin) in HRS
Overview
This document will provide information on canceling, reopening, transferring and delegating a Performance Document. It is intended for HR administrators use.Process Considerations:
- HR Admin staff will have the ability to cancel, transfer and reopen Performance Management documents
- The UW_UNV_HR_EPERF_ADMIN security role is required to perform the procedures steps below
- Managers have the ability to reopen Performance Management documents; additional information available on the Performance Management Help page
Instructions for Canceling a Document
NOTE: A single document can also be canceled from within the document itself by clicking the Cancel Document hyperlink in the middle of the page. However, this will not appear until the document is in Evaluation in Progress status.
1. Navigation:
- Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Cancel Document
- Workforce Development > Performance Management > Development Documents > Administrative Tasks > Cancel Document
2. Enter information in Search for Documents section to narrow results.
NOTE: if Search Criteria are not used only 300 total records can be viewed.
3. Select Search.
4. Place a check-mark in the box for the record(s) to be cancelled.
5. Select Continue.
6. Select Save to confirm cancellation.
7. Select OK on the Save Confirmation page.
Reopening a Document - Manager Evaluation
NOTE: This Reopen method only applies to documents with a status of Pending Acknowledgement, Canceled or Completed. A single document in one of these statuses can also be reopened from within the document itself by clicking the Reopen hyperlink in the middle of the page.1. Navigation:
- Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Reopen Document
- Workforce Development > Performance Management > Development Documents > Administrative Tasks > Reopen Document
3. Select Search.
4. Place a check-mark in the box for the record(s) to be reopened.

5. Select Continue.
7. Select OK on the Save Confirmation page.

If the document was reopened to the Evaluation in Progress status, these steps only reopened the Manager Evaluation; additional steps must be taken to open the employee's Self Evaluation.
NOTE: This step should only be performed when the Manager Evaluation is in Evaluation in Progress status.

3. Select the employee name hyperlink to open the document; it will open to the Review Manager Evaluation step.
4. In the information pane on the left side, click on the View hyperlink in Review Self Evaluation section; the Self Evaluation will open in a new window.
6. Select Confirm to reopen the Self Evaluation.
7. Close the Self Evaluation window.
8. Refresh the Manager Evaluation page; the Review Self Evaluation step should go from green to yellow.

- Workforce Development > Performance Management > Development Documents > View Documents
3. Select the employee name hyperlink to open the document; it will open to the Review Manager Evaluation step.
4. In the information pane on the left side, click on the View hyperlink in Review Self Evaluation section; the Self Evaluation will open in a new window.
5. Select the Reopen hyperlink in the middle of the page.
6. Select Confirm to reopen the Self Evaluation.
7. Close the Self Evaluation window.
8. Refresh the Manager Evaluation page; the Review Self Evaluation step should go from green to yellow.
NOTE: The employee will need to mark the Self Evaluation as complete before the manager can see employee comments again.
Transferring a Document
NOTE: Document transfer should be used when an employee has changed managers after the document has been created and the existing document will be used instead of creating a new document (e.g, the employee's Reports To has changed).1. Navigation:
- Workforce Development > Performance Management > Performance Documents > Administrative Tasks > Transfer Document
- Workforce Development > Performance Management > Development Documents > Administrative Tasks > Transfer Document
NOTE: if Search Criteria are not used only 300 total records can be viewed.3. Select Search.
4. Place a check-mark in the box next to the document(s) to be transferred.
5. Select Continue.
6. Select the Select a Manager hyperlink.
7. Enter information in the Search Criteria and select Search.
- To see more information about the individuals listed, select the blue information icon
- You can choose the individual by selecting Select This Person or select Return to List hyperlink to choose someone else.
9. Select OK.
10. Select Save to confirm the transfer.
11. Select OK on the Save Confirmation page.
Delegating Manager Authority
NOTE: The Delegation process gives the manager's proxy access to all of the manager's current documents; it is not possible to delegate authority to only select documents through this process. During the delegation period, both the delegating manager and the proxy will be able to access and update the employee documents. The intended use of delegation is for troubleshooting or a manager being on a leave of absence.1. Navigation: Workforce Administration > Self Service Transactions > Approvals and Delegation > Add Delegation Request
2. Enter search criteria to find the current manager.
3. Enter the first day of delegation period in the From Date.
4. Enter the last day of delegation period in the To Date.
5. Use the magnifying glass to find the Transaction Name: Update Performance Documents, which appears as Delegate_ePerformance_Doc after selected.
6. Enter the Empl ID or use the Proxy magnifying glass to look up the person to receive the delegated authority request.
7. Select Save to trigger an email sent to the requested Proxy, who will accept or decline the request.
8. The requested Proxy can accept or decline the request using they hyperlink in the email or by navigating to Self Service > Manage Delegation and using the Review My Delegated Authorities hyperlink.
9. A manager can submit a delegation request on their own by navigating to Self Service > Manage Delegation and using the Create Delegation Request hyperlink.
- After accepting the request, the proxy will likely need to log out of HRS and back in
- Access the delegating manager's direct reports document by navigating to Manager Self Service > Performance Management > Performance Documents > Current Documents or Team Performance > Delegated Documents tab (Team Performance only appears if the Proxy also has the ePerformance manager role)
