Forwarding Applicant(s) in HRS
Overview
You can forward applicants to one or more persons to enable them to review the applicant. This is often used to gain approvals for interviewing applicants. When forwarding an applicant, the recipients whom you select receive a notification that includes any text you enter and a link to the applicant's record. Forwarding an applicant is similar to routing an applicant. However, when you forward an applicant, TAM does not change the disposition status for the applicant. TAM does, however, add an entry to the Contact History group box in the applicant Notes section of the Manage Applicant page.Process Considerations:
- The applicant's resume is included in the forwarding email as an attachment.
- When receiving a forwarded applicant, the recipient can respond via email to all other recipients.

Instructions for Forwarding a Single Applicant
- Navigate to the Job Opening. Refer to KnowledgeBase Searching for Job Opening or By Application in TAM or Recruiting Home Page in TAM , for additional information.
- Within the Applicants tab, navigate to Other Actions > Applicant Actions > Forward Applicant.
- Click the Find link to access HRS's address book.
- You can search the address book by Employee ID or Name. Once the information is added, click Search.
- Check the box for the name of whom you'd like to forward this applicant.
- Click the Add Selected button.
- The selected recipient now appears in the To field.
- Click in the Subject field. Enter the desired information into the Subject field.
- Verify the Access is set for Public.
NOTE: Selecting private means you, the author, is the only one who can view this message in applicant Notes. - Enter your message into the Message field.
NOTE: You can optionally check spelling in your message. Click the Spell Check button. - Click the Preview button.
- Use the Forward Applicant Preview page to view the complete email message, including the text that you entered and the automatically generated text link.
- Click Return when you are finished.
- Make edits to the message as necessary and when finished, click Send.
- The Manage Applicants page appears again after you send the email. The recipient will receive an email regarding the applicant's information.
- To confirm that the email appears as a note in the applicant's record, from the Job Opening Page, select the candidate's name then select the Notes tab.
Forwarding Multiple Applicants
- Navigate to the Job Opening. Refer to KnowledgeBase Searching for Job Opening or By Application in TAM or Recruiting Home Page in TAM , for additional information.
- Within the Applicants tab, select the applicants you are going to forward by clicking the checkbox under the Select column.
- Select Group Actions > Applicant Actions > Forward Applicant.
- Follow steps 3 - 15 above for forwarding the applicants.
