Adding Notes, Attachments, and Expenses to Job Openings in TAM

Overview

Notes, attachments, and expense information can be associated to job openings to assist with recruitment record keeping and analytics. Do this on the Activity & Attachments section of the Job Opening page.

Process Considerations:

  • Expenses added to the Job Opening Expenses section will show up on the Recruitment Expense Report.
  • This document applies to Job Openings that are already in Open status. To add attachments to Job Openings in draft or Pending Approval status, use the Job Opening Attachments tab.

Instructions for Accessing Activities and Attachments

  1. Navigate to Recruiting > Search Job Openings.
  2. Use the Search Job Opening page to locate specific job openings. Enter the appropriate search criteria and click on the Search button.
  3. Click the Job Opening to which you'd like to add a note, expense, or attachment.
  4. Click the Activity & Attachments tab.  Use the Activity and Attachments view to review existing notes, attachments and expenses and to create additional ones.
  5. From here, you can add a Note, Attachment or Expense.

From here, you can add a Note, Attachment of Expense.


Adding Notes

  1. Click the Add Note button.
  2. Add the Subject and Details.
  3. Update the Audience field, if necessary.
    NOTE: This controls who can see the note. The best business practice is to select Public.  Private notes can be viewed only by the originator. Public and Interview notes can be viewed by anyone who has access to the job opening.
  4. When finished, click the Add Note button to save the note.

  5. Back on the Manage Job Opening Page, click the Save button when you are finished.

Adding Attachments

  1. Click the Add Attachment button.
  2. Click the Browse button to navigate to your local drives and select the attachment.
  3. After selecting the attachment, click the Open button.
  4. Click the Upload button and the attachment will appear in the Attachments section.

  5. If necessary, update the Description field. This provides a short description of the attachment.
  6. Update the Audience fields.
    NOTE: The Audience field controls who can see the note. The best business practice is to select Public.  If the Audience is blank or set to Private, notes can be viewed only by the originator. Public and Interview notes can be viewed by anyone who has access to the job opening.
  7. On the Manage Job Opening Page, click the Save button when you are finished.

Adding Expenses

  1. Click the Add Expense button.
    • Use the Add Expenses page to enter detailed information about an expense that is associated with the job opening.
  2. Select an Expense Code from the list.
  3. Enter the appropriate information into the Expense Amount field.
  4. The Charge Date should reflect the date the expense was made.  This field automatically populates to the current date and should be updated accordingly.
  5. The Business Unit and Department fields default from the Job Opening.
  6. To add an Applicant Name to the expenses click the magnifying glass to find name.  If an applicant name has been added, it will also appear on the Recruitment Expense Report.
  7. Add additional details to the expense in the Description field.
  8. Press OK when complete.

  9. Back on the Manage Job Opening Page, click the Save button when you are finished.
