Entering Person Profile Management in HRS

Overview

This procedure provides instruction on how to set up an employees Person Profile and to enter Education and Faculty Sabbatical content information.

Process Considerations:

  • Always use the Add New Degrees link when adding new degree content item to the Education Content Type.
  • Never use the Plus Sign "+" to insert a new row from within an existing Degree; this invokes known Oracle Bug and is not best practice.
  • The Faculty Sabbatical content section is limited to Empl Class FA.

Instructions for Adding a Person Profile and Educational Degree Data

    1. HRS Navigation: Workforce Development > Profile Management > Profiles > Person Profiles
    2. Click the Add a New Value tab.
    3. Click the Add button.
    4. Enter the EmplID.
    5. Enter “Person” in Profile Type.
    6. Click the Education content tab.

    7. Click the Add New Degrees link.

    8. Enter the required degree information, including the Date Acquired, Degree, Major Code, Country, State, School Code, Minor Code (if applicable). Use the Look-Up next to School Code to identify the School Code from the Description or State. There are additional optional fields which can be populated if appropriate.
    9. Check the Graduated checkbox.
    10. If the employee holds additional degrees, click the Apply and Add Another link and repeat steps 9 and 10 above. If not, continue.
    11. Click OK.

Instructions for Adding a Person Profile and Faculty Sabbatical Data

    1. Obtain the Faculty Sabbatical information for the employee.
    2. HRS Navigation: Workforce Development > Profile Management > Profiles > Person Profiles.
    3. Click the Add a New Value tab.
    4. Click the Add button.
    5. Enter the EmplID.
    6. Enter “Person” in Profile Type.
    7. Click the Faculty Sabbatical link.

    8. Under the Special Projects section, click the + Add New Special Projects link.

    9. Enter the Sabbatical %, Begin Date, and End Date of the faculty sabbatical.
    10. **Leave Department SetID set to SHARE.**
    11. Enter Department.
      Add New Special Project
    12. Click OK.
    13. Click Save.

Adding an Additional Degree or Faculty Sabbatical Information when the Person Profile Already Exists

  1. Obtain the Education or Faculty Sabbatical information for the employee. Find and make note of the Empl ID.
  2. HRS Navigation: Workforce Development > Profile Management > Profiles > Person Profiles
  3. Click Find an Existing Value.
  4. Enter Empl ID.
  5. Click Search.
  6. Verify the display is for the Education or Faculty Sabbatical link, as appropriate, or click on the correct link.
  7. Continue with Step 7 under Education or Faculty Sabbatical sections above.
    Note: To view details about existing Faculty Sabbaticals, click on the percentage (ex: 65%) under the Faculty Sabbatical link.
