Review of Time Administration in HRS

Overview

The Time Administration job runs seven times a day( 4a, 6:15a, 9a, 11a, 1p, 3p and around 6p) processing reported time to payable time by applying rules and edits to prepare time for Payroll processing.

Process Considerations:

  • Time Administration is setup to run automatically seven times a day (4a, 6:15a, 9a, 11a, 1p, 3p & around 6p).
  • Reported time that has a high severity TL Exception will not be processed to payable time until the exception is resolved.

New Reported Time

  1. Reported time is submitted on the Timesheet or through the Web Clock.
  2. The Time Admin job runs applying rules and edits to the reported time.
  • If any reported time fails one or more of the edits, a TL Exception is generated.
  • Reported time that has passed all Time Admin edits will then be processed to payable time. Punch timesheet users will see status icons change from Submitted to Needs Approval following this process.

Updated Reported Time

  1. Updates are made to the reported time and the Timesheet is submitted.
  • The updated reported time will not appear in payable time until after the next scheduled Time Admin job runs and all edits are passed.
  • The Time Admin job runs applying rules and edits to the reported time.
  • If any reported time fails one or more of the Time Admin rules, a TL Exception is generated.
  • Reported time that has passed all Time Admin edits will then be processed to payable time. Punch timesheet users will see status icons change from Submitted to Needs Approval following this process.

Applying Rules and Edits to Reported Time

  1. The Time Admin job runs applying rules and edits to the reported time.
  • If any reported time fails one or more of the edits, a TL Exception is generated.
  • It is important to resolve TL Exceptions in a timely fashion so that the processing of reported time to payable time isn’t delayed.
  • Reported time with a TL Exception severity of ‘Severe’ will not be processed to payable time until the TL Exception is first resolved.
  • Once a TL Exception has been resolved, it may not immediately disappear from the Timesheet.  The next scheduled Time Admin job may need to run before the resolved TL Exception is actually removed from the Timesheet.
  • Once the TL Exception has been resolved, the reported time will then be processed to payable time after the next scheduled Time Admin job runs and all edits are passed.
