Create and Modify Security Role Templates in HRS

Overview:

This document will walk through the process to create and modify security role templates that are used in conjunction with security role provisioning in HRS.

Process Considerations:

  • A template is a collection of commonly assigned security roles. Once a template has been assigned, security roles can be added and removed to the individual.
  • Role Templates are visible only to security role requester at the creator's primary job institution (ie role template created by a UW-Madison employee is only visible to UW-Madison requesters)
  • Recommend limiting the number of people with security to update tempates to reduce confusion in template creation and updates.
  • Required Security: UW_UNV_CT_PROV_ROLE_TMPLT (UW Prov Campus Template Create)

Create a New Role Template

  1. Navigation: UW Security Requests > Config > Role Template
  2. Click Add a New Value tab.
  3. Enter a Security Request Template ID, following institution determined naming convention.
  4. Enter a brief description of the template.
  5. Effective Date will default to the current date, leave as is.
    NOTE: If you change the effective date the template will not be available until the effective date is reached.
  6. Status will default to Active, leave as is.
  7. Click the magnifying glass to search for and select a security role.
    NOTE: On the look up page, click the Advanced lookup hyperlink to change the search operators.
  8. Click the plus sign at the end of the row to add additional security roles.
  9. Repeat step 7 & 8 as needed.
  10. Click Save. 

Modify an Existing Role Template

  1. Navigation: UW Security Requests > Config > Role Template
  2. Enter a Security Request Template ID, and click Search.
  3. Click the plus sign next to the Status field to add a row.
  4. Effective Date will default to the current date, leave as is.
    NOTE: If you change the effective date the template will not be available until the effective date is reached.
  5. Add and remove roles on the role list using the plus and minus signs.
  6. Once all changes are made, click Save. 

Inactivate a Role Template

If a template is no longer needed it can be inactivated. Inactive templates are not available to be assigned based upon the effective date of the inactive status row.
  1. Navigation: UW Security Requests > Config > Role Template
  2. Enter a Security Request Template ID, and click Search.
  3. Click the plus sign next to the Status field to add a row.
  4. Effective Date will default to the current date, leave as is or change to date the status change is effective.
    NOTE: If you change the effective date the template will not be unavailable until the effective date is reached.
  5. Change the Status to Inactive.
  6. Click Save.
