Create and Modify Security Role Templates in HRS
Overview:
This document will walk through the process to create and modify security role templates that are used in conjunction with security role provisioning in HRS.Process Considerations:
- A template is a collection of commonly assigned security roles. Once a template has been assigned, security roles can be added and removed to the individual.
- Role Templates are visible only to security role requester at the creator's primary job institution (ie role template created by a UW-Madison employee is only visible to UW-Madison requesters)
- Recommend limiting the number of people with security to update tempates to reduce confusion in template creation and updates.
- Required Security: UW_UNV_CT_PROV_ROLE_TMPLT (UW Prov Campus Template Create)
Create a New Role Template
- Navigation: UW Security Requests > Config > Role Template
- Click Add a New Value tab.
- Enter a Security Request Template ID, following institution determined naming convention.
- Enter a brief description of the template.
- Effective Date will default to the current date, leave as is.
NOTE: If you change the effective date the template will not be available until the effective date is reached. - Status will default to Active, leave as is.
- Click the magnifying glass to search for and select a security role.
NOTE: On the look up page, click the Advanced lookup hyperlink to change the search operators. - Click the plus sign at the end of the row to add additional security roles.
- Repeat step 7 & 8 as needed.
- Click Save.
Modify an Existing Role Template
- Navigation: UW Security Requests > Config > Role Template
- Enter a Security Request Template ID, and click Search.
- Click the plus sign next to the Status field to add a row.
- Effective Date will default to the current date, leave as is.
NOTE: If you change the effective date the template will not be available until the effective date is reached. - Add and remove roles on the role list using the plus and minus signs.
- Once all changes are made, click Save.
Inactivate a Role Template
If a template is no longer needed it can be inactivated. Inactive templates are not available to be assigned based upon the effective date of the inactive status row.
- Navigation: UW Security Requests > Config > Role Template
- Enter a Security Request Template ID, and click Search.
- Click the plus sign next to the Status field to add a row.
- Effective Date will default to the current date, leave as is or change to date the status change is effective.
NOTE: If you change the effective date the template will not be unavailable until the effective date is reached. - Change the Status to Inactive.
- Click Save.
