Logging in with Multi-Factor Authentication (MFA)

OVERVIEW:

UW System Administration has selected Duo as our solution for Multi-Factor Authentication (MFA). In order to utilize multi-factor authentication, you will use a smartphone, tablet or fob. This document will walk you through the process of logging in to Duo with each of those devices.

Process Considerations:

  • To use the ‘Send Me a Push’ option with a smartphone or tablet device, it must be connected to the internet.

Instructions for Using Duo MFA with a FOB

  1. Log into your Office 365 account (office.com, Outlook, SharePoint, Teams, etc.)
  2. After entering in your login credentials, you will be prompted for Duo authentication.
  3. Click the "Enter a Passcode" button.
  4. Press the green button your fob to generate a six-digit passcode.
  5. Enter the passcode into the dialog box and hit Enter key or click the "Log In" button. Check the "Remember me for 14 hours" box if you are logging into a browser. This will remember your login for the next 14 hours. Should you have to log into your account again on that browser, you will not be prompted to authenticate with Duo.
    Note: This option only applies to the browser. Desktop apps such as Outlook, Teams, Skype, and OneDrive fall under the weekly authentication rule.
    You are now logged into your Office 365 account.

Using Duo MFA with a Smartphone or Tablet

Once you have installed the Duo Mobile app on your device and enrolled in Duo MFA, follow the steps below to start using Duo.

Note: to use the ‘Send Me a Push’ option, the tablet must be connected to the internet or be on your phone service data plan.

  1. Log into your Office 365 application (office.com, Outlook, SharePoint, Teams, etc.)
  2. Enter your login credentials.
  3. You will be prompted with Duo authentication.
  4. Select "Send Me a Push" or "Enter a Passcode".
  5. Check the "Remember me for 14 hours" box if you are logging into a browser. This will remember your login for the next 14 hours. Should you have to log into your account again on that browser, you will not be prompted to authenticate with Duo.

  6. Open the push notification sent to your device and press "APPROVE". You can also open the Duo Mobile app and press on the "Request waiting. Tap to respond…" green bar across the screen and then press "APPROVE".
  7. You are now logged into your Office 365 account.
